Data Sharing & Accessibility Policy

Promoting transparent, accessible, and reproducible research while protecting the privacy, confidentiality, and rights of research participants.

Prophetic: Professional, Empathy, Islamic Counseling Journal supports responsible data sharing and research transparency to strengthen the credibility, reproducibility, and academic value of published research. The journal encourages authors to make research data and supporting materials accessible whenever ethically and legally possible.

The journal recognizes that research in guidance and counseling, Islamic guidance and counseling, educational counseling, personality studies, and psychological assessment may involve personal, sensitive, or confidential information. Therefore, data sharing must be conducted responsibly, with particular attention to informed consent, participant privacy, research ethics, and applicable legal requirements.

01
Transparency
Clear information about research data and methods.
02
Accessibility
Responsible access to data and supporting materials.
03
Confidentiality
Protection of participants and sensitive information.

1. Scope of Research Data

Research data and supporting materials may include, but are not limited to:

  • Survey instruments, questionnaires, and anonymized survey results.
  • Interview guides, anonymized interview excerpts, and qualitative coding frameworks.
  • Observation protocols, field notes, and research documentation.
  • Assessment instruments and relevant supporting research materials, subject to licensing and ethical restrictions.
  • Statistical outputs, analytical procedures, codebooks, and analysis scripts.
  • Publicly available documents, archival sources, and supplementary materials relevant to the published article.

2. Data Availability Statement

Authors are encouraged to include a Data Availability Statement in every submitted manuscript. The statement should clearly explain whether the data supporting the findings are available and, where applicable, how they can be accessed.

Authors may use one of the following statements, depending on the nature of their research:

A. Data publicly available

“The data supporting the findings of this study are available in [repository name] at [URL or DOI].”

B. Data available upon reasonable request

“The data supporting the findings of this study are available from the corresponding author upon reasonable request, subject to ethical and confidentiality restrictions.”

C. Data restricted for ethical or legal reasons

“The data are not publicly available because they contain confidential or sensitive information and are subject to ethical, privacy, or legal restrictions.”

D. No new data were generated or analyzed

“No new datasets were generated or analyzed during this study. Data sharing is not applicable to this article.”

Authors must ensure that the selected statement accurately reflects the research and that any repository links or identifiers are correct.

3. Data Sharing and Accessibility

Authors are encouraged to share research data and supporting materials through reliable institutional or disciplinary repositories whenever appropriate. Shared materials should be sufficiently documented to help other researchers understand and, where feasible, verify the reported findings.

Where possible, authors should:

  • Provide stable links or persistent identifiers, such as a DOI, for deposited datasets.
  • Include relevant metadata, descriptions, and documentation.
  • Use accessible file formats where practical.
  • Clearly identify any access conditions, reuse restrictions, or licensing terms.
  • Ensure that shared files do not disclose confidential or identifying participant information.

Data sharing is encouraged but remains subject to the ethical, legal, and methodological requirements of each study.

4. Protection of Confidential and Sensitive Data

Because counseling and educational research may involve students, clients, minors, or other potentially vulnerable participants, protecting their privacy is a priority. Authors must not publicly share identifiable personal information or confidential counseling records without an appropriate legal and ethical basis.

Authors are responsible for:

  • Obtaining informed consent when required for data collection and sharing.
  • Removing or masking direct and indirect identifiers before sharing data.
  • Respecting the confidentiality of counseling sessions, assessments, and personal disclosures.
  • Complying with relevant ethical approvals, institutional requirements, and applicable data protection laws.
  • Restricting access to data when anonymization cannot adequately prevent identification or potential harm.

Data must not be shared when doing so would violate participant consent, confidentiality obligations, intellectual property rights, or applicable law.

5. Research Reproducibility

Authors should describe their research design, participant selection, data collection procedures, instruments, and analysis methods in sufficient detail to support scholarly evaluation. Where appropriate, supplementary materials such as questionnaires, coding frameworks, analysis procedures, and statistical scripts may be provided to improve transparency and reproducibility.

When underlying data cannot be shared, authors should explain the restrictions in the Data Availability Statement and provide as much methodological detail as reasonably possible without compromising confidentiality or research integrity.

6. Data Repositories and Licensing

Authors may use trusted institutional repositories or established general-purpose repositories suitable for their research field. Deposited materials should include appropriate descriptions, access information, and licensing conditions.

Authors must ensure that they have the necessary rights and permissions to share any third-party materials, copyrighted instruments, assessment tools, or other protected content. Depositing data in a repository does not remove obligations relating to confidentiality, copyright, or participant consent.

7. Responsibilities of Authors, Reviewers, and Editors

Authors
Authors must provide accurate data availability information, maintain research materials securely, document their methods transparently, and share eligible data when appropriate and ethically permissible.
Reviewers
Reviewers may assess the clarity and adequacy of data availability statements and research methods. Any confidential data or materials received during peer review must be handled securely and must not be disclosed or used for personal purposes.
Editors
Editors may request clarification about data availability, supporting materials, or research methods when necessary to assess a manuscript or address questions concerning the reliability of published findings.

8. Requests for Data and Research Integrity

Requests for access to research data should be directed to the corresponding author, using the contact details provided in the published article. Requests should explain the intended scholarly purpose and must respect any restrictions stated by the authors.

Where questions arise concerning the accuracy, reliability, or integrity of published research, the editorial team may request relevant supporting data or documentation, subject to ethical and legal limitations. Concerns about unavailable data, inaccurate data availability statements, or potential research misconduct will be assessed in accordance with the journal's applicable editorial and publication ethics policies.

Our Commitment

Prophetic is committed to fostering responsible research practices, scholarly transparency, and appropriate data accessibility while safeguarding the dignity, privacy, and rights of research participants. Data sharing should strengthen research integrity without compromising ethical responsibilities.
